The role:
The successful candidate will become a Team Clerk/Admin Assistant and be based within District Admin Teams for Adult Services. They will be line managed by an Admin Officer and be part of a team of Admin Assistant colleagues.
Key responsibilities:
Following a professional assessment, to assist in the brokerage of End-of-Life Care, including the establishment of packages of care by ordering services from a variety of providers, completing the necessary paperwork, updating and progressing information about the services and dealing with enquiries from providers and service users.
To communicate potentially complicated and complex information from providers to staff.
To organize, prepare for, and attend meetings and case conferences, taking appropriate minutes and undertaking any necessary follow up. These would usually be meetings concerning Safeguarding Adult investigations with distressing and emotional content.
To ensure the main database for service user information (SWIFT) is accurate, completing documentation (both paper and computer based) which is detailed and specific in order to maintain accurate records and financial budget information.
To undertake computer input providing updated information about service users as appropriate e.g. updating SWIFT contact notes.
To propose administrative changes to enhance the workflow for the team.
To take part in working groups relevant to the area of work.
To be responsible for maintaining and ordering necessary stationery, office equipment, etc.
To be responsible, if appropriate, for petty cash and receiving service user valuables on behalf of the team.

Secondments can be considered for internal staff, as long as approval is sought from the relevant line manager prior to applying.
It is desirable that you are a car driver.
Thursday and Friday are the appointed working days for this post. Some flexibility with Thursday may be possible as long as the weekly hours are met.
You must have the ability to work outside normal working hours if the role requires you to do so in future – we currently have no requirement to work evenings/weekends.
Full training provided.
Who are we looking for?
Essential Criteria:
- Good standard of education (5 GCSEs minimum): The candidate should have good numeracy and literacy skills as well as good communication and listening skills.
- The ability to converse at ease with customers and provide advice in accurate spoken and written English.
- A relevant typing or IT qualification i.e. RSA Level 3, ECDL, or equivalent - and recent experience in using office applications on a personal computer.
- Work well under pressure.
- The candidate will be highly organised in their work, use their initiative and be skilled at prioritising tasks, especially when working to deadlines.
- Committed to working as a member of a team and have a flexible approach to duties on or off normal base.
- Be adept at communicating with staff at all levels as well as having experience of working with the public.
- Must be able to meet the physical demands of the role as well as adhering to GDPR and the Data Protection Act.
