An opportunity has arisen for a full time Administrative Assistant within the Chief Executive's support office.
This is a busy admin team and your role within it will be to ensure that the day to day essential administrative tasks are carried out.
Your tasks will include:
- Acting as a point of contact for internal/external customers by telephone/email/in person
- Contributing to and maintain management information systems that support the aims of the service and the organisation
- Providing support for specific professional, service led or high profile projects as directed.
- Effective preparation of documentation from information provided to you.
- Distribution of documentation and actions and monitoring thereof
- Attending meetings and transcription of accurate notes and follow up actions
- Responding to more complex or detailed enquiries both verbally and in writing
- Information gathering activities and research
- Other admin tasks eg arranging meetings and visits with external organisations.
- You will have a working knowledge of Microsoft (Excel/Word) and Google Mail/Sheets/Documents
- In accordance with service demands provide office administration tasks such as typing, petty cash, photocopying, scanning and uploading on to electronic client records.
- Deal with incoming and outgoing post in accordance with established procedures
- Organisation of your work without/or limited supervision, managing interruptions/conflicting demands and the ability to deal with change are all essential in this role.
